Under the direct supervision of the Admissions Manager, the One Stop Representative is responsible for providing an exceptional customer service experience to prospective and current students and their families in person, over the phone, and via email.

The One Stop Representative is expected to continually look for new ways to improve service to students by internally or cross-functionally developing new recommendations on initiatives or success measures that will contribute to increased enrollment, retention, graduation, and student satisfaction.

CRITERIA FOR APPOINTMENT

  • An associate's degree or a Bachelor’s degree is preferred.
  • Three (3) years of relevant experience in a tertiary environment.
  • Demonstrated organizational, planning, written, and verbal communication skills; excellent interpersonal skills including tact and diplomacy; customer service skills; ability to multitask and work cooperatively with others.
  • Proficiency in Microsoft Office (with an emphasis in Word and Excel) is highly preferred.
  • Experience working with database systems, including data entry, queries and running reports.
  • Cultural awareness, problem-solving and analytical abilities, decisiveness, and professional discretion.
  • Ability to think creatively and apply innovative solutions to the work environment and partner with other constituents to accomplish tasks.
  • Detail-oriented, with the ability to learn and interpret government and university regulations, policies and procedures.
  • Ability to manage a wide range of duties including handling customer enquiries, assisting with registration, Campus management and assisting with various front office tasks to support the smooth function of the Registrar’s Office.

Accountabilities Specific to the Role

  • Responsible for providing excellent customer service and accurate information to internal and external stakeholders, prospective and current students and their families regarding undergraduate admissions policies, registration, financial aid & scholarships via multiple venues, including in person, call center and email.
  • Investigate, problem-solve, and resolve issues for prospective, current, and former students, working cooperatively with other departments to provide quality student service for all enrollment services areas.
  • Registers students, maintains and distributes transcripts and letters of verification as well as other paperwork and/or processes within the Registrar’s Office.
  • Maintains a high level of working knowledge of university information, current processes and procedures, organization, opportunities, policies and knowledge of government and immigration rules and regulations.
  • Provides information to students and applicants on admissions requirements, course enrollment information, curriculum, academic records, residency requirements, financial aid, billing and payment with a continuous focus on academic and degree progress, financial wellness, student retention and graduation rates.
  • Assist with all admissions functions, including receiving and completing new student application processing, ensuring accuracy of information entered on the student record.
  • Work with the Accounting Department to analyze student account activity and support students with payment queries.
  • Responsible for assisting students with the completion of payment plans to be approved by the Accounting Department. Manages an assigned group of payment plans throughout a semester to ensure timely payments are made to the student account.
  • Manage various caseloads of students and conduct proactive outreach to students who have been identified as potential readmissions.
  • May supervise and delegate assignments to student workers, ensuring work is complete and accurate and provide a supportive and educational work environment.
  • Participate in college recruitment activities, including but not limited to New Student Orientation and Open Campus. Assist the Registrar with institutional events such as Convocation, Commencement and Placement Examinations.
  • Actively participate in all professional development activities such as trainings, committees, project teams, and other opportunities.

Compensation:

Salary Range: KYD $43,452.00 - $57,036.00 p.a (Grade N)

Contributory medical, pension and annual leave (15 days).
